Applications for Saltman Quarterly are now open for the 2008-2009 academic year.

Saltman Quarterly, the student-run, faculty and peer-reviewed undergraduate journal of the life sciences at UCSD, is seeking students to fill staff positions or to serve on the manuscript review board. To apply, review the position descriptions below, then check the positions you are interested in (up to three) and provide a brief statement about the skills, experience, and qualities that you would bring to the position(s). SALTMAN QUARTERLY POSITION DESCRIPTIONS & REQUIREMENTS

EDITOR-IN-CHIEF

  • Oversees the decisions and work of all staff members.
  • Responsible for final decisions on layout/article order, journal style, etc., where there are creative differences in the editorial staff.
  • Presides over agreement on the cover page with the staff members and advisor.
  • Is liaison between the SQ staff and the Dean's Office advisor.
  • Works with the Production Editor on the layout of the print version of the journal.
  • Sets up and conducts at minimum quarterly staff meetings to review status of SQ and upcoming deadlines
  • Sets up and ensures manuscript control on the sq share point
    Requirements: Junior or higher standing; biology major.

RESEARCH EDITOR

  • Responsible for routine contact with authors submitting research manuscripts and research review articles on the progress of the article preparation and provides assistance on research topics and writing tips to the authors.
  • Ensures legitimate origins of data.
  • Ensures that each author receives and responds to the manuscript checklist and submits a signed author agreement including any needed PI permissions prior to manuscript review by Faculty
  • In conjunction with the Review Board Managers, assists in the approval of manuscripts submitted for the review process, ensures that Review Board Managers prepare summaries of review board comments for each manuscript and provide the summaries to the author
  • Sets up a meeting between the author and the faculty reviewer to discuss the article. Obtains copies of Faculty reviewer’s comments, both on the review form and on the manuscript itself.
  • Ensures that essential changes requested by review board and faculty reviewer are incorporated into the final manuscript.
  • Ensures that the author provides a cover letter with the manuscript detailing the changes that have been made to the manuscript in response to faculty and review board comments
  • Ensures that all necessary clearances for graphics and other copyrighted materials are submitted by authors of accepted research manuscripts
  • Assumes the duties of the Editor in Chief in his or her absence.
  • Requirements: sophomore or higher standing; biology major.

 REVIEW BOARD MANAGERS (2)

  • Maintain contact information on all review board members and records of each member's manuscript review history
  • Organize and attend the fall Review Board workshop(s) presented by faculty.
  • Prepare and distribute materials for review prior to the fall review workshop including a sample manuscript and standard manuscript review guidelines.
  • Provide for online review process whereby review board members are sent electronic versions of the manuscripts with specific guidelines for using tracking to indicate comments on the manuscript and the SQ review form for more general comments
  • Provide Research Editor with summaries of comments from student reviewers for each manuscript.
  • Requirements: sophomore or higher standing; biology major.

 REVIEW BOARD MEMBERS (~25)

  • Attend fall review board workshop.
  • Each quarter, review assigned research manuscripts and complete an SQ manuscript review form for each manuscript.
  • Return files by deadline established by Review Board Manager.
  • Must review manuscripts for at least two of the three quarters of the academic year.
  • Requirements: biology major or minor.

 FEATURES EDITOR 

  • Organizes science writing workshop for prospective staff writers with UCSD Director of Science Communications
  • Actively promotes staff writing opportunities to biology majors and minors.
  • Develops a list of possible article topics including interviews, editorials, commentaries, biological model organisms, and trends that would be of interest to readership.
  • Responsible for routine contact with writers on the progress of the article preparation and provides assistance on feature topics and writing guidelines and SQ style for references, graphics, footnotes, headlines, etc. to the writers.
  • For faculty interviews, provides assistance with interviewee's background research and generation of pertinent interview questions.
  • Assists in the approval of submitted manuscripts for the review process.
  • Specifically reviews and approves submitted feature articles.
  • Responsible for the return of faculty and peer-reviewed material along with summaries to the author with suggestions for revisions.
  • Requirements: sophomore or higher standing; biology major.

 PRODUCTION EDITOR 

  • Oversees the work of Research and Features Design Editors as well as the Technical Editor for Graphics.
  • Works with Editor-in-Chief to facilitate the communication of layout and design ideas to Research Design Editor and Features Design Editor.
  • Prepares style sheet for feature and research articles
  • Works with and guides Research Design Editor and Features Design Editor to format the layout and design of each issue.
  • Does final editing of graphics, layouts, templates, and designs of the production team before Editor-in-Chief approves for print.
  • Assists in the publication and printing of the issue.
  • Requirements: biology major or minor, experience doing layout with Adobe InDesign or similar software (software will be provided), Adobe Illustrator, Photoshop and/or familiarity of such design software.

 RESEARCH DESIGN EDITOR

  • Designs template of layout for research manuscripts.
  • On a quarterly basis, lays out the articles assigned in proper SQ format for publication online in html format and for print version of entire volume during spring quarter.
  • Lays out the cover page and table of contents page in consultation with the Editor-in-Chief and other staff members.
  • Assists in the approval of submitted manuscripts for the review process.
  • Requirements: biology major, experience doing layout with Adobe InDesign or similar software (software will be provided), Adobe Illustrator, and/or familiarity of such design software.

FEATURES DESIGN EDITOR

  • Designs template of layout for each feature article.
  • Lays out feature articles assigned in proper SQ format for publication online in html format and for print version of entire volume during spring quarter.
  • Lays out feature articles, staff page, and acknowledgements page in consultation with the Editor-in-Chief and other staff members.
  • Assists in the approval of submitted manuscripts for the review process.
  • Requirements: biology major, experience doing layout with Adobe InDesign or similar software (software will be provided), Adobe Illustrator, and/or familiarity of such design software.  

TECHNICAL EDITOR FOR GRAPHICS 

  • Ensures proper scientific paper format (according to SQ Publication Guidelines).
  • Ensures that tables, graphs, and other science images and photographs are in appropriate format for both online and print publication. Ensures high resolution of graphics for print version.
  • To the extent feasible, maintains graphic style consistency within and across manuscripts.
  • May work with individual authors to reproduce graphics to meet print publication standards.
  • Assist in the approval of submitted manuscripts for the review process.
  • Requirements: biology major; experience with graphics software for both online publication and print; please provide samples of your experiences in graphics editing/design. (software will be provided)

TECHNICAL EDITOR FOR CONTENT

  • Ensures proper scientific paper format (according to the SQ Publication Guidelines).
  • Thoroughly edits each submission to ensure that each article has the same style and follows SQ publishing and style guidelines including, but not limited to capitalization, paragraph formatting, complete references, figure captions, footnotes, headlines, spelling, grammar and syntax before manuscript is reviewed by Review Board and Faculty Board.
  • Works with author of accepted manuscript to ensure that complete references are used in each article.
  • Assists in the approval of submitted manuscripts for the review process.
  • Requirements: biology major; excellent English grammar skills; please provide samples of your writing/editing experiences.

 WEBMASTER

  • Responsible for the maintenance and updating of the SQ website (http://sq.ucsd.edu) in a regular and timely manner.
  • Keeps informed on staff and deadline updates and program/guideline changes.
  • Seeks out online resources of interest to undergraduate biology researchers, including the websites of sister journals.
  • Each quarter puts accepted articles online after editing and layout has been completed.
  • Requirements: biology major or minor; experience with website soft ware and creating html pages, and with cascading style sheets (CSS).

 COMMUNICATIONS / PUBLICITY CHAIR

  • Responsible for publicizing all SQ events, including the quarterly info session, the fall review board workshop(s), and the science writing workshop
  • Responsible for creating and posting flyers promoting SQ involvement.
  • Responsible for creating and running a Publicity Committee.
  • Responsible for drafting and sending e-mail to all biology majors regarding the SQ for article submissions, Review Board, Staff Writers, and staff openings.
  • Responsible for promoting SQ to faculty and to student researchers, including those enrolled in 196, 199 and BS/MS programs.
  • Responsible for promoting sponsorship of SQ by companies and organizations including but not limited to journal and website ads
  • Requirements: biology major.

 STAFF WRITERS (~4)

  • Commits to writing at least one feature article during the academic year as negotiated with and assigned by the Features Editor.
  • For interviews, work with Features Editor to develop relevant interview questions.
  • Responsible for making editorial changes based on review of draft article by faculty and peers.
  • Responsible for suggesting graphics to accompany article.
  • Assists Features Editor in developing story ideas for each quarter.
  • Requirements: biology major
  • NOTE: feature manuscripts will undergo the same rigorous review as the research manuscripts and there is no guarantee that any one feature article will be accepted for publication, either due to content, execution, or limited space.
